REPORTS TO: Executive Assistant to the President, Assistant to the Board of Trustees

MINIMUM REQUIREMENTS:
- Highschool Diploma or Equivalent
PREFERRED QUALIFICATIONS:
- Excellent customer service and interpersonal skills
- Exceptional verbal and written communication skills for interacting with a diverse college population
- Proficiency with basic computer systems, word processing, and data entry software, specifically Microsoft Office 365
- Ability to multitask, manage file systems, and keep the front desk environment orderly.
- Strong attention to detail and accuracy
- Ability to handle confidential information
- Problem-solving and conflict-resolution skills
POSITION SUMMARY:
The Receptionist serves as the first point of contact at NPRC for students, faculty, staff, parents, visitors, and vendors. This role combines warm hospitality, customer service, administrative support, and office coordination responsibilities. The ideal candidate will greet visitors, handle communications, and support day-to-day office operations to ensure a productive environment for students, faculty, and staff.
ESSENTIAL FUNCTIONS:
- Greet students, faculty, prospects, and other visitors warmly as they arrive.
- Manage and check in visitors and students directing or escorting them to the appropriate office, classroom, or staff member.
- Provide general information about the college services, office locations, events, and procedures.
- Assist visitors and remote staff with parking information and guidance.
- Respond to general inquiries in person, by phone, or by email.
- Guide students to the appropriate departments, resources, and services for routine administrative inquiries, including registration processes, forms, and deadlines.
- Operate multi-line phone system, answering and directing incoming phone calls.
- Schedule and confirm appointments while accurately maintaining the shared office calendars.
- Sort, distribute, and manage incoming and outgoing mail and packages.
- Copy, file, scan, and maintain both paper and electronic institutional documents.
- Assist with department meetings, orientations, open houses, and special events.
- Manage communication between Facilities and cleaning services.
- Coordinate communication and logistics between outside groups reserving space and Facilities.
- Manage visitor check-in procedures for events.
- Obtain the monthly copier meter reading and replenish supplies as needed.
- Direct maintenance, utility, or service personnel to the appropriate location.
ADDITIONAL ELIGIBILITY REQUIREMENTS:
- Consistent access to a vehicle and/or reliable means to get to work on time every workday
CLEARANCE REQUIREMENTS:
Must be able to obtain the following clearances and training:
- PA Child Abuse History Clearance
- Pennsylvania Access To Criminal History Record Check
- Federal Criminal History Background Check
- Training Certificate - Mandated and Permissive Reporting in Pennsylvania

WORKING CONDITIONS/WORK SCHEDULE:
- Office Location: Warren Administrative Office, 300 Second Avenue, Warren, Pennsylvania
- Work hours: Full-time employees are expected to work a minimum of 37 hours per week
- Monday – Thursday 8:30am – 5:00pm
- Friday 8:30am – 4:30pm
TRAVEL REQUIREMENTS:
- Infrequent travel required
