The Program Coordinator provides operational coordination across the Community Partnerships portfolio, supporting implementation of the Community Investment Grants program, coordination of community partnership activities, community engagement initiatives, and Community Benefit reporting. This role coordinates program operations, documentation, communications, and workflows that enable the Community Partnerships team to carry out an expanding portfolio of initiatives supporting the organization's community health priorities.   ESSENTIAL FUNCTIONS The essential functions listed are typical examples of work performed by positions in this job classification.  They are not designed to contain or be interpreted as a comprehensive inventory of all duties, tasks, and responsibilities.  Employees may also perform other duties as assigned. Must perform all duties and responsibilities in accordance with the hospital's policies and procedures, including its Service Standards and its Code of Conduct. - Coordinate operational implementation of the Community Investment Grants program, including managing grant documentation, tracking reporting deadlines and deliverables for funded partners, coordinating proposal and application review processes, and preparing grant agreements and related program materials. - Coordinate ongoing engagement with community-based organizations and grantee partners, serving as an operational point of contact for scheduling, correspondence, and information requests, and maintaining accurate partner contact and engagement records that support the department's community partnership relationships. - Plan and coordinate logistics for community partner convenings, collaborative learning events, and related meetings, including scheduling, materials preparation, venue and vendor coordination, and on-site support, to advance collaborative engagement across the grantee cohort and broader community partner network. - Coordinate data collection, documentation, and evaluation tracking in support of the department's community benefit regulatory compliance and reporting obligations, including the Community Benefit Report, Community Health Needs Assessment, and Implementation Strategy Report, and prepare supporting tables, background materials, and reporting components as directed by the Program Manager, Community Partnerships. - Coordinate development of communications materials supporting Community Partnerships communications and outreach, including drafting and organizing content for newsletters, reports, presentations, program updates, partner-facing communications, and other program materials. - Maintain program documentation, tracking systems, and workflow processes across Community Partnerships initiatives, including project trackers, operational documentation, and document management systems, ensuring records, deadlines, and deliverables remain organized and accessible to support consistent program operations. - Coordinate operational systems and logistics for Community Partnerships and departmental initiatives, including internal review processes, project tracking, meeting coordination, and preparation of committee and briefing materials for internal and external engagements. - Coordinates logistical planning and execution for department meetings, grant partner events, community engagement events, site visits, and other stakeholder activities, including scheduling, registration, materials, vendor coordination, catering, technology, and day-of event support.   MINIMUM QUALIFICATIONS Any combination of education and experience that would likely provide the required knowledge, skills and abilities as well as possession of any required licenses or certifications is qualifying. Education: Bachelor's degree in a work-related field. Experience: 3 years of progressively responsible experience in program coordination, grant administration, nonprofit partnerships, healthcare administration, public health, government relations or a related field. License/Certification:  None   KNOWLEDGE These are the observable and measurable attributes and skills required to perform successfully the essential functions of the job and are generally demonstrated through qualifying experience, education or licensure/certification. - Knowledge of community partnership and engagement practices - Knowledge of grant program administration, healthcare community benefit concepts. - Knowledge of program & project coordination practices,  meeting and event planning, - Knowledge of business writing, editing, and communications materials development. - Knowledge of recordkeeping, documentation systems, and program tracking practices. - Ability to coordinate multiple programs & project, build relationships with community-based organizations and regional stakeholders. - Ability to communicate effectively, both orally and in writing community partners, institutional colleagues, and leadership. - Ability to work independently within establish frameworks, manage documentation and reporting workflows, and synthesize information from multiple sources into clear, effective communications and reports. - Skill in coordinating programs, community partnerships, meetings, events, and stakeholder engagement activities. - Skill in tracking program performance, deadlines, deliverables, and maintaining accurate documentation and records. - Skill in preparing, editing, and proofreading clear, professional communications, reports, and regulatory materials. - Proficiency with project tracking, workflow management, and standard office software applications.PHYSICAL REQUIREMENTS The Physical Requirements and Working Conditions in which the job is typically performed are available from the Occupational Health Department. Pay Range Compensation is based on the level and requirements of the role. Salary within our ranges may also be determined by your education, experience, knowledge, skills, location, and abilities, as required by the role, as well as internal equity and alignment with market data. Typically, new team members join at the minimum to mid salary range.
