For early phase studies through Phase III clinical trials, our experienced team delivers high-touch services and technology to ensure the safety of all stakeholders across the clinical research community with an emphasis on ethics, compliance, and innovation.  Job Title: Site Payments Associate II Location: Bangalore, Karnataka (Hybrid) Function: Clinical Operations - Payments ESSENTIAL DUTIES AND RESPONSIBILITIES: Site Payments Associate II supports and manages the implementation and ongoing investigator payment services for Payments projects, while also supporting the monitoring of global financial operations for the Site Payments product, ensuring accurate and timely processing of investigator grants and patient reimbursements, reporting, third-party vendor coordination including invoicing, and customer service. Primary Responsibilities - Support the operational implementation activities and ongoing investigator payment services for Payments projects and programs, including the creation and maintenance of vendor, site, and Principal Investigator (PI) records, bank setup entries, and user management, the analysis and configuration of clinical trial agreements, study protocols, and contract budgets, and the support for ongoing payment transactions, invoicing process, batch processing services, payment settlement, and query resolutions, in accordance with contractual Service Level Agreements - Support the monitoring and analysis of financial data, ensuring timely processing of EFT (ACH/Wire) payments, check payments, and patient reimbursements, investigating and resolving payment issues for nonreceipt or lost checks and transaction inquiries, creating reports including month end reports and transparency reports for internal and external client reporting and compliance requirements, and assisting with payee bank setup and validation in multiple countries and currencies - Use strong critical thinking and problem-solving skills to assist the Project Management, Implementation, Finance, Engineering, Product, IT, and other team members in resolving payment and other work-related issues - Support financial operations-related activities within the Payments solution, and coordinate financial operations-related aspects of Site and Patient Payments customer relationships during implementation, post-implementation, and study closeout phases - Manage internal systems used for financial reporting, while driving business processes to improve efficiency and meet organizational goals and manage cash account balances and account reconciliations - Support Operations team activities with third-party payment vendors related to onboarding, billing, inquiries, and process improvement, and coordinate communication and documentation when needed between payment vendors and clients - Prioritize assigned tasks across multiple client projects and internal initiatives - Provide excellent customer service at all times during all interactions with customers - Provide guidance and support to Sitero teams including Engineering, Product Management, and Finance teams on financial operations matters, promoting professional development, growth, and process improvements - Work well independently as well as collaboratively in a team with strong communication skills to ensure the project manager and project stakeholders are aware of the status of operational activities including successful completion of deliverables - Participate in project team meetings, execute project deliverables on time, and provide status updates in implementations of Site and Patient Payments from project kickoff to study closeout - Make final decisions on internal team discussions or escalate problems to the appropriate management personnel - Manage expectations and deliverables on a client-by-client basis - Maintains Quality Service and Departmental Standards by Reading, understanding and adhering to organizational Standard Operating Procedures (“SOP”). - Assisting in establishing and enforcing departmental standards Secondary Responsibilities: - Performing other duties as assigned including project management activities such as logging action items and distributing meeting minutes - Working with internal staff to resolve issues - Exploring new opportunities to add value to organization and departmental processes - Helping others to achieve results - Maintains Technical and Industry Knowledge by Attending and participating in applicable company-sponsored training EDUCATION AND EXPERIENCE REQUIRED: Education: - Bachelor’s degree in accounting or finance preferred Experience: - 3-5 years of successful experience in the Site Payments Associate role or other equivalent investigator payments experience required - Experience in clinical trial research is highly desirable - Experience in contract entry accuracy, transaction processing, and client satisfaction preferred - Experience in accounting systems and controls, account reconciliations, invoice processing, and implementation of a financial system preferred - Ability to clearly communicate with operations and client accounting and finance personnel - Strong Excel skills - SQL experience a plus Additional skill set: - Motivated and action driven with strong critical thinking and problem-solving skills - Strong computer skills, including MS Office suite - Ability to manage multiple priorities well - Resourceful and organized - Strong written and verbal communication skills both internal and external -
