About the role

SpanishContract ManagementHVAC
Vichara is a Financial Services focused products and services firm headquartered in NY and building systems for some of the largest i-banks and hedge funds in the world. Here’s a cleaner role description you can use for recruiting: Property Manager – Multi-Location Residential Portfolio We are looking for an experienced, hands-on Property Manager to oversee a portfolio of privately owned residential properties, including houses, villas, vacation homes, and short-term rental/Airbnb-type properties across multiple locations. The ideal candidate should be based in, or able to work extensively across, New York, Florida/Tampa, and Puerto Rico, and must be flexible to travel frequently between properties as required. Key Responsibilities - Manage the day-to-day operations and upkeep of multiple residential properties across different locations. - Oversee houses, villas, vacation properties, and short-term rental/BnB properties owned by management. - Coordinate housekeeping, landscaping, maintenance, repairs, pest control, pool services, utilities, security, and other property services. - Identify maintenance issues proactively and ensure repairs are completed promptly and to a high standard. - Manage and supervise local vendors, contractors, housekeepers, handymen, and other service providers. - Obtain quotations, negotiate vendor pricing, approve work within agreed guidelines, and track expenses. - Conduct regular property inspections and maintain detailed checklists for each location. - Ensure properties are fully prepared before the owner's, management's, family members', or guests' arrival. - Coordinate arrivals, departures, cleaning schedules, linen management, supplies, groceries, and other property-specific requirements when needed. - Manage short-term rental operations where applicable, including guest readiness, cleaning turnovers, maintenance coordination, and issue resolution. - Maintain inventories of furniture, appliances, equipment, keys, access cards, household supplies, and other property assets. - Track utility bills, maintenance contracts, insurance-related property documentation, permits, and recurring services. - Respond quickly to emergencies such as plumbing, electrical, HVAC, security, storm, or property damage issues. - Provide management with regular updates on property condition, upcoming maintenance, expenditures, and significant issues. - Develop reliable local vendor networks in each geography rather than depending on a single centralized team. - Maintain a high degree of confidentiality and discretion when dealing with management-owned properties and personal matters. Candidate Profile - Prior experience managing high-end residences, luxury villas, vacation homes, hospitality properties, serviced apartments, Airbnb/short-term rentals, or a multi-property residential portfolio. - Comfortable managing properties located in different cities or states rather than operating from a single property. - Strong vendor-management and facilities-management skills. - Highly organized and capable of handling multiple issues simultaneously. - Practical and hands-on; willing to inspect properties personally and resolve operational problems rather than only coordinating remotely. - Strong communication and reporting skills. - Bilingual – English and Spanish strongly preferred, particularly given the Puerto Rico and Florida responsibilities. - Comfortable communicating with household staff, contractors, guests, vendors, and senior management. - Able to work independently with limited supervision. - Willing and able to travel frequently between New York, Florida/Tampa, Puerto Rico, and other locations as required. - Availability to respond to urgent property matters outside normal business hours when necessary. - Valid driver's license and ability to travel domestically. Preferred Background Candidates may come from backgrounds such as: Luxury Residential Property Management, Estate Management, Family Office Property Management, Hospitality Operations, Villa/Resort Management, Airbnb/STR Operations, Facilities Management, or Private Household/Estate Management. The role would particularly suit someone who combines the service mindset of hospitality with the operational discipline of a professional property manager. I would title this “Multi-Property Residential / Estate Manager” rather than simply “Property Manager” if these are management-owned private homes. It will attract candidates accustomed to handling high-end residences and owner requirements rather than conventional apartment-building leasing.
