Job Summary
The Practice Administrator oversees daily operations, financial performance, and team development to ensure an exceptional patient experience, operational efficiency, and practice growth.
Key Responsibilities
- Lead daily practice operations, including staffing, scheduling, meetings, inventory, ordering, reporting, and training.
- Drive practice growth through strategic initiatives, marketing efforts, and expansion opportunities.
- Monitor market trends and implement business strategies to improve performance.
- Manage financial operations, including budgeting, reporting, billing oversight, and asset management.
- Analyze operational metrics and develop action plans to improve efficiency, productivity, and profitability.
- Coach, develop, and motivate team members to achieve performance and patient service goals.
- Partner with regional leadership and HR on recruitment, employee relations, and workforce planning.
- Ensure compliance with HIPAA, company policies, and safety standards.
- Foster a positive, patient-focused culture centered on teamwork and accountability.
- Perform other duties as assigned.
Qualifications
Education
- High school diploma or GED required.
- Bachelor's degree in Business Administration, Healthcare Management, or related field preferred.
Experience
- 2+ years of healthcare office management or related leadership experience.
- Experience in practice growth, strategic planning, and marketing.
- Strong financial and operational management skills.
- Experience building relationships with referral sources, payers, and key stakeholders.
Knowledge, Skills & Abilities
- Strong leadership, communication, and problem-solving skills.
- Ability to analyze data and drive operational improvements.
- Patient-focused with a commitment to team development and customer service.
- Ability to travel between locations as needed and work flexible hours, including occasional weekends.
- Proficient in Microsoft Office applications.
- Must meet background check and employment eligibility requirements.
Supervisory Responsibilities
- Directly supervises office staff and oversees scheduling, training, coaching, performance management, and daily operations.
- Provides ongoing feedback, accountability, and development to support individual and team success.
Work Environment
- Work is performed in a clinical/office setting and may require travel between locations. Occasional exposure to blood, bodily fluids, and cleaning agents may occur. Standard office equipment and computer systems are used regularly. PPE is required as appropriate.
