About the Role:
The Logistics Coordinator supports Motive’s day-to-day domestic and international logistics operations by coordinating shipments, maintaining accurate shipment and carrier records, following up with transportation partners, and helping resolve delivery exceptions. This role is responsible for keeping freight activities organized, visible, and moving on schedule across carriers, freight forwarders, customs brokers, warehouses, and internal teams.
The ideal candidate is highly organized, detail-oriented, responsive, and comfortable managing multiple shipments and stakeholders in a fast-paced environment. This role will work closely with the Senior Manager, Logistics & Trade Compliance and will provide operational support across Motive’s logistics network.
Trade compliance is a supporting responsibility rather than the primary focus of this role. The Logistics Coordinator will help collect and maintain required shipment documentation, identify missing or inconsistent information, and escalate compliance questions to the appropriate owner.
Note: This is a remote position. Candidates should be located in or near Louisville, Kentucky, and able to collaborate effectively with U.S. warehouses, carriers, 3PL partners, and Motive stakeholders across time zones. The role may occasionally require schedule flexibility to support shipment escalations or partner operating hours.
What You'll Do:
Shipment Coordination and Execution
- Coordinate domestic and international shipments from booking through delivery.
- Prepare shipment requests and confirm shipment details, including origin, destination, service level, quantities, weights, dimensions, and requested delivery dates.
- Coordinate with freight forwarders, parcel carriers, brokers, warehouses, and 3PL partners to support timely shipment execution.
- Track shipment milestones and proactively communicate delays, exceptions, and changes to internal stakeholders.
- Confirm proof of delivery and update shipment records after delivery.
- Support shipment approvals and ensure required information is available before freight is released.
Carrier, Forwarder, and 3PL Coordination
- Serve as a day-to-day contact for assigned transportation and logistics partners.
- Request and compare freight quotes and support routing decisions based on cost, service, and delivery requirements.
- Follow up on pickup scheduling, delivery appointments, tracking gaps, claims, accessorial charges, and service issues.
- Maintain current contact lists, routing instructions, rate information, and service-level documentation.
- Support regular carrier and 3PL performance reviews by preparing shipment data, issue logs, and basic KPI reporting.
- Escalate recurring service failures, cost concerns, and operational risks to the Senior Manager, Logistics & Trade Compliance.
Shipment Data, Systems, and Reporting
- Maintain accurate shipment, tracking, freight-cost, and delivery information in Motive’s systems and shared trackers.
- Reconcile shipment records against carrier, forwarder, warehouse, and 3PL updates; investigate and resolve discrepancies.
- Prepare recurring reports covering shipment status, on-time delivery, open exceptions, freight spend, accessorials, and other logistics KPIs.
- Support invoice review by matching freight invoices to shipment records, quotes, approvals, and delivery documentation.
- Identify opportunities to improve shipment visibility, data quality, standard work, and logistics reporting.
- Follow documented procedures and recommend updates when processes or systems change.
Documentation and Trade Compliance Support
- Collect and organize commercial invoices, packing lists, bills of lading, proof of delivery, shipping instructions, and other required shipment records.
- Confirm that shipment documentation is complete and route missing or inconsistent information for correction.
- Maintain organized records for audits, broker requests, shipment reviews, and internal reporting.
- Coordinate with customs brokers and internal stakeholders to obtain information requested for routine shipments.
- Escalate classification, valuation, country-of-origin, licensing, sanctions, or other trade-compliance questions to the Senior Manager, Logistics & Trade Compliance or the designated subject-matter owner.
- This role does not independently determine product classification, provide legal advice, or own Motive’s trade-compliance program.
Cross-Functional Support and Continuous Improvement
- Partner with Fulfillment, Inventory, Planning, Finance, Sourcing, Customer Support, and other teams to coordinate logistics activities.
- Support new carrier, forwarder, warehouse, and 3PL implementations.
- Help document standard operating procedures, escalation paths, and shipment workflows.
- Participate in process-improvement initiatives that reduce delays, manual work, errors, and avoidable logistics costs.
- Provide clear, timely updates on open actions, risks, and decisions.
What We're Looking For:
Required Knowledge and Skills
- Working knowledge of transportation, freight, parcel, warehouse, or 3PL operations.
- Strong organizational skills and the ability to manage multiple shipments, priorities, and deadlines at once.
- Excellent written and verbal communication skills, including professional communication with external logistics partners.
- Strong attention to detail and demonstrated ability to maintain accurate operational records.
- Proficiency with Microsoft Excel or Google Sheets, including filters, lookups, pivot tables, and basic data analysis.
- Ability to investigate discrepancies, identify root causes, and drive issues to resolution.
- Comfortable working independently in a remote environment while maintaining reliable follow-through and communication.
- Ability to work with ERP, transportation-management, warehouse-management, carrier, or logistics platforms.
Experience
- 2+ years of experience in logistics coordination, transportation operations, freight forwarding, warehouse operations, supply chain, or a related field.
- Experience coordinating with parcel carriers, freight forwarders, customs brokers, warehouses, or 3PL providers.
- Experience tracking shipments and managing delivery exceptions across multiple regions or service levels.
