- Track commitments, decisions, and priorities established by the President and ensure appropriate follow-through.
- Identify issues requiring the President's attention and distinguish between matters that can be resolved independently, coordinated with department leaders, or escalated for executive direction.
- Attend meetings as the President's representative when requested, communicate the President's direction accurately, and report back on outcomes and follow-up needs.
2. On-Site Operations and Office Management
- Serve as the primary operational lead for the Washington, DC office, ensuring that the physical workplace is organized, functional, professional, and adequately equipped.
- Oversee day-to-day office logistics, including facilities, supplies, equipment, vendors, maintenance, workspace needs, and coordination with building management.
- Identify and resolve operational issues that interfere with employees' ability to work effectively.
- Coordinate office access, visitor arrangements, meeting spaces, technology needs, and other workplace logistics.
- Develop and maintain practical office procedures, checklists, and systems that promote consistency, efficiency, security, and accountability.
- Coordinate with Human Resources, Finance, IT, and other relevant personnel on office-related needs and organizational processes.
3. Organizational Coordination and Accountability

- Build effective working relationships with department leaders and staff to understand their activities, dependencies, challenges, and resource needs.
- Help identify gaps in communication, coordination, accountability, or execution and work with the appropriate leaders to address them.
- Track key organizational initiatives, milestones, deadlines, and decisions, bringing delays, competing priorities, or unresolved issues to the President's attention.
- Facilitate cross-departmental communication and coordination when projects or decisions involve multiple teams.
- Encourage a culture of professionalism, responsiveness, transparency, and responsible stewardship of organizational resources.
4. Special Projects and Executive Initiatives
- Lead or coordinate special projects assigned by the President, from initial planning through implementation and evaluation.
- Conduct research, analyze information, and prepare concise written recommendations to support organizational decisions.
- Assist with the development and implementation of organizational plans, internal processes, and management initiatives.
- Support organizational change initiatives by coordinating communication, implementation steps, and follow-up.
5. Meetings, Leadership Communication, and Follow-Through

- Track action items and follow up with responsible individuals to promote timely completion.
- Help communicate leadership decisions and organizational updates clearly and consistently.
6. Continuous Improvement and Organizational Effectiveness
- Assess existing office and organizational processes to identify unnecessary complexity, inefficiency, duplication, or gaps in accountability.
- Recommend practical improvements that strengthen organizational effectiveness without creating unnecessary bureaucracy.
- Support responsible use of organizational time, funding, equipment, and other resources.
- Maintain a solutions-oriented approach, balancing attention to detail with the ability to prioritize broader organizational needs.
Qualifications
