We aim to constantly re-evaluate what it’s like to work with a studio and provide a high degree of value and service to our clients and our team. Position Overview The Studio Coordinator in Milwaukee is a hands-on operations role responsible for the daily care and hospitality of our Milwaukee Studio while also helping the people, tools, and spaces across Zero stay connected and well supported. This person keeps the studio welcoming, functional, and ready for whatever the day requires, while making sure employees have the equipment, software, and operational support they need to do their best work. Compared with the Level I position based in Brooklyn, this role operates with greater independence and has responsibilities that extend beyond the care of its local studio. The Studio Coordinator Level II supports shared systems and resources across the company and is expected to identify gaps, develop practical solutions, and carry small operational initiatives through completion. Success in the role requires a collaborative, team-first approach and a willingness to help when shared studio or operational needs arise. Roles & Responsibilities The following responsibilities illustrate the role and may evolve as the needs of the studio change. Studio Readiness and Hospitality - Own the day-to-day readiness, ambiance, organization, and presentation of the Milwaukee studio. - Maintain supplies, snacks, beverages, shared spaces, meeting rooms, and the details that make day-to-day life in the studio feel welcoming, thoughtful, and cared for. - Take the lead in coordinating team lunches, client visits, meetings, cultural programming, and studio events. - Coordinate repairs, maintenance, cleaning, building access, vendors, shipping, receiving, and other studio logistics. Equipment Management - Maintain an accurate inventory of computers, monitors, production equipment, accessories, and other studio assets. - Coordinate equipment purchasing, assignment, setup, repair, replacement, recovery, and responsible disposal in partnership with internal owners and vendors. - Coordinate equipment assignments, shipments, setup, handoffs, and returns for onboarding, offboarding, and ongoing needs across studio locations; keep related records current. - Identify recurring equipment needs, lifecycle risks, and opportunities to improve reliability or cost. - Provide equipment support to employees across teams and studio locations, regardless of where the employee is based. Content Studio and Asset Stewardship - Establish clear organization, inventory, and reset standards for the Milwaukee content studio and its shared equipment, props, and supplies in partnership with the Content team. - Maintain practical systems for tracking shared production assets and ensure the Content team completes required checkouts, returns, repairs, replacements, and disposal. - Coordinate with Producers and project teams regarding upcoming photoshoots, space needs, equipment availability, deliveries, and post-shoot resets. - Ensure the content studio and shared production resources are returned to an organized, ready-to-use condition following shoots. - Identify and follow up on unresolved content-studio needs while leaving shoot-specific production tasks and day-to-day asset handling with the Producer and Content team. Operational Systems and Spend Administration - Administer assigned software tools and licenses, including user access, seat counts, renewals, and basic troubleshooting. - Maintain clear records of owners, costs, users, renewal dates, and access requirements. - Coordinate onboarding and offboarding access changes with HR, managers, and external support partners. - Surface redundant tools, unused licenses, security concerns, or unclear ownership for review. - Serve as a centralized point of contact for assigned equipment and software questions, resolving routine needs and routing technical or policy issues to the appropriate owner. - Review and approve routine expense card and spend requests from Project Managers and Producers within established guidelines. - Confirm that Ramp requests identify the project, business purpose, amount, timeframe, and appropriate project-owner authorization; apply relevant spending limits, expiration dates, and merchant controls. - Monitor active cards and budgets, make authorized adjustments, and close them when the approved need has ended. - Escalate incomplete, unusual, higher-risk, or out-of-policy requests to the Executive Director of Operations. Process and Operational Support - Document recurring workflows and develop clear, practical policies, processes, checklists, and reference materials as needs emerge. - Lead small operational projects from scoping through completion, keeping stakeholders informed and work moving. - Use sound judgement to resolve routine issues independently and escalate decisions, risk, or spending outside established authority. Skills & Competencies - Demonstrated ability to own recurring systems, maintain accurate records, and follow work through to completion. - Strong organization, prioritization, and written communication skills, with a personable approach and the ability to connect with employees across teams, locations, and levels of the organization. - Comfort administering workplace technology and software systems; deep technical expertise is not required, but curiosity and sound troubleshooting judgment are important. - Comfort administering structured purchasing workflows and applying established approval requirements consistently. - Ability to translate an operational need into a clear, usable process or reference document. - Good judgment about what can be resolved independently and what requires escalation, approval, or broader input. - A warm, service-minded approach combined with the confidence to create structure and hold others accountable to agreed processes. Experience Required - Approximately 3 or more years of relevant experience in studio or office coordination, operations, hospitality, administration, IT coordination, or a similarly hands-on environment. How Success is Measured - The studio is consistently ready, welcoming, organized, and equipped for the workday. - Equipment, software, and Ramp administration records are current, ownership is clear, and renewals or risks are surfaced before they become problems. - Routine Ramp requests are handled promptly and consistently, with appropriate project authorization, spending controls, and escalation of exceptions. - The team can rely on accurate information, thoughtful service, and steady operational support. - Recurring work is documented and improved through practical, usable processes. Working Relationships This role reports to the Executive Director of Operations and works closely with the broader Operations team, Project Managers, Producers, employees across studio locations, building contacts, and external vendors. The role is primarily onsite in Milwaukee, while its equipment, software, and operational systems responsibilities support employees across the company.
