POSITION Kueski is seeking a service-driven professional to own daily workplace operations in Guadalajara, keeping spaces ready, supplies stocked, meeting rooms functional, and visitors and new hires warmly welcomed. This role is ideal for someone who takes ownership of workplace requests and delivers cultural programming that makes the office a place people choose to come to. As a key leader in the onsite experience, you will report to the Facilities Manager and own day-to-day execution and service quality, while the manager owns planning, budget, and compliance. KEY RESPONSABILITIES DAILY OFFICE EXPERIENCE - Opens and closes the day: checks that the space, meeting rooms, kitchen and common areas are ready and in good condition before people arrive. - Welcomes and hosts visitors, candidates, vendors and new hires; is the host of the space. - Keeps supplies, snacks, beverages, stationery and consumables stocked, with inventory and consumption tracking to avoid both stock-outs and waste. - Prepares meeting rooms and supports the logistics of in-person meetings and hybrid sessions. - Handles the workplace request channel (tickets or Slack) at first level: resolves what is within reach and escalates to the Facilities Manager anything that requires a decision, budget or vendor. - Immediately reports any space failure, risk or incident and follows it through to resolution. CULTURE PROGRAMMING AND IN-PERSON MOMENTS - Executes the in-person moments calendar: anchor days, team lunches, birthday and anniversary celebrations, seasonal dates and Kueski rituals. - Proposes and runs activities that give purpose to coming into the office: learning sessions, wellbeing activities, cross-team gatherings. - Prepares and delivers welcome kits, swag and recognition items, and maintains their inventory. - Supports new hires' day one on site together with People Operations and IT: assigned desk, access, office tour and team introductions. - Documents each activity with photos, attendance and learnings to feed internal communications. EVENT AND MEETING LOGISTICS - Supports the execution of corporate events (offsites, hackathons, all hands, team sessions) under the coordination of the Facilities Manager. - Manages on-site logistics: catering, rooms, furniture, signage, materials, local transportation and attendee registration. - Runs the on-site show flow during events and resolves issues in the moment. - Closes each event with receipts, expense reconciliation and a short learnings note. LISTENING AND FEEDBACK - Runs short, recurring surveys on the office experience and tracks participation. - Collects and classifies employee feedback on the space and its services. - Delivers a periodic summary of themes, recurring complaints and opportunities to the Facilities Manager. - Closes the loop with employees: communicates what was done with their feedback. ADMINISTRATIVE AND VENDOR SUPPORT - Follows up on purchase orders, invoices, receipts and the area's expense reports in line with Finance policies. - Supports vendor onboarding and the collection of required documentation. - Supervises cleaning, maintenance and security staff on site and reports service deviations. - Keeps access control, key, parking and visitor records up to date. - Supports the logistics of drills, emergency brigades and health and safety campaigns. SUPPORT TO THE MEXICO CITY COMMUNITY - Handles coworking and meeting room access requests from Mexico City employees remotely: additions, removals, bookings and questions. - Supports the logistics of in-person meetings and team sessions in Mexico City in coordination with flexible space providers. - Tracks usage and reported issues in flexible spaces and documents them for the Facilities Manager. TOOLS AND AUTOMATION - Uses AI and automation tools to answer frequent questions, triage requests, draft communications and process survey results. - Keeps workplace documentation and self-service guides current. - Proposes improvements to the processes they operate, focused on reducing repetitive manual work. JOB REQUIREMENTS EXPERIENCE - Bachelor's degree completed or in progress in Business Administration, Tourism or Hospitality, Communications, Human Resources or a related field. - 1 to 3 years of experience in office management, hospitality, customer-facing service, event coordination or People Operations. - Experience serving people in person in a service environment. - Experience coordinating vendors and following up on purchase orders and invoices. - Preferred: experience in technology, fintech or startup companies. - Preferred: experience supporting corporate events with more than 50 attendees. TECHNICAL KNOWLEDGE - Advanced user-level Google Workspace and Slack. - Spreadsheet skills for inventory, expense control and request tracking. - Working knowledge of Mexican invoicing and expense documentation. - Preferred: survey, ticketing and space booking tools. - Conversational English at B1 or above; the company operates in English and Spanish. SKILLS - Service and hospitality mindset: energized by being around people and solving what they need. - Organization and attention to detail: nothing drops because it was forgotten. - Proactivity: anticipates needs rather than waiting for the request. - Calm and sound judgment under pressure, especially during events. - Clear, warm communication, both written and verbal. - Discretion in handling sensitive and confidential information. - Creativity to deliver good outcomes on a constrained budget. - Collaboration with People Operations, IT, Legal, Finance and business teams. - Adaptability: the role will evolve as the company defines its hybrid model.
