As an Office Manager with Michels Infrastructure Solutions, you will serve as a central resource for project teams, visitors, vendors, subcontractors, and corporate support functions. You will help manage day-to-day office operations, support project administration activities, coordinate onboarding and site access requirements, and ensure project offices operate efficiently throughout the construction lifecycle.

Position Overview
As an Office Manager, you will support project teams through a variety of administrative, operational, and office management functions while overseeing the daily operations of the project office. This role serves as a primary administrative liaison between field personnel, project management, visitors, subcontractors, vendors, and corporate support teams.
You will coordinate office processes, maintain project records, support project onboarding activities, manage office vendors and services, assist with contract administration activities, and help create a professional and organized project environment.
Success requires exceptional organizational skills, strong communication abilities, attention to detail, customer service focus, and the ability to manage multiple priorities in a fast-paced construction environment.
Key Responsibilities
- Manage day-to-day project office operations and administrative activities.
- Support project management, operations, project controls, and field teams through a variety of administrative functions.
- Coordinate onboarding and project access requirements for employees, subcontractors, vendors, and visitors.
- Maintain project records, office systems, documentation, and information management processes.
- Coordinate office vendors, service providers, and facility-related activities.
- Promote a strong health, safety, environment, and quality (HSEQ) culture throughout the project office.
What You'll Do
- Analyze and organize office operations, workflows, filing systems, records management processes, and administrative procedures.
- Coordinate activities supporting all phases of construction contracts, including bidding, award, execution, and closeout activities.
- Download and organize project plans, specifications, and related contract documentation.
- Answer incoming calls and professionally greet, direct, and assist visitors.
- Manage incoming and outgoing mail, shipments, deliveries, and correspondence.
- Coordinate office vendors and service providers, including cleaning services, facility maintenance providers, and other support partners.
- Develop and maintain procedures for the retention, protection, retrieval, transfer, and disposal of project records.
- Prepare reports and administrative summaries for project and business leadership.
- Assist with office budgeting, supply procurement, inventory tracking, and cost management initiatives.
- Coordinate employee, subcontractor, and visitor onboarding activities.
- Track site orientations, required training, badging requirements, and project access compliance.
- Support vendor setup activities and coordinate documentation with Project Controls and other project support functions.
- Maintain visitor logs, check-in/check-out records, and site access documentation.
- Coordinate conference room scheduling, meetings, project events, and office functions.
- Maintain contact lists, office directories, project rosters, and related records.
- Support employee travel arrangements, lodging coordination, workspace assignments, and general project office needs.
- Assist with project mobilization and demobilization activities.
- Maintain a professional, organized, and customer-focused office environment.

What It Takes
- Associate's degree and 2-5 years of related administrative, office management, construction administration, or project support experience, or an equivalent combination of education and experience.
- Strong organizational, administrative, and multitasking abilities.
- Experience supporting project teams, construction operations, professional services, or similar business environments.
- Ability to balance multiple priorities and manage competing deadlines in a timely and efficient manner.
- Strong verbal and written communication skills.
- Strong customer service and interpersonal skills.
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Experience managing records, documentation, correspondence, schedules, and administrative processes.
- Ability to work independently while maintaining effective collaboration across project teams and corporate support functions.
- Experience supporting onboarding, training coordination, badging, access management, travel coordination, or similar administrative functions is preferred.
- Bachelor's degree is preferred but not required.
- Valid driver's license with an acceptable driving record.
- Ability to travel locally as required.
Work Environment
- Primarily works in a climate-controlled office environment located within an active project or construction setting.
- Works at a steady to fast pace with frequent interruptions and changing priorities.
- Regular use of computers, office equipment, filing systems, and communication tools.
- Frequently required to work at a desk and use hands for typing and handling documents.
- Regularly lifts and/or moves up to 25 pounds and occasionally more with assistance.
- Requires close vision and the ability to adjust focus.
