What We Need:
The Program Specialist supports the Programs team in operational success by supporting delivery of our technical assistance and training according to organizational and funder expectations. This position provides project management and support to facilitate the smooth and efficient functioning of the team, as well as designated bodies of work within the program area. This position also provides continuous improvement for organizational and membership best practices.

Who You Are:
A highly organized program support specialist with:
- Ability to utilize backwards planning for events management.
- Strong project management skills with ability to anticipate needs and manage time effectively.
- Ability to prioritize tasks and work on multiple projects, meeting requests and events simultaneously balanced with excellent attention to detail.
- Ability to work independently and take initiative, and make independent, informed decisions.
- Flexibility with strong analytical and problem-solving skills.
- Clear and concise communication with excellent oral and written communication skills.
- Demonstrated excellence in internal and external customer service.
- Diplomatic and sensitive to maintaining confidentialities, as appropriate.
- Strong computer skills, including thorough knowledge of Outlook, Word, Excel, Power Point, etc.
What You’ll Do At OPCA:
- Provide project management for the OPCA Education and Technical Assistance (E/TA) work plan, including tracking activities, identify gaps, and collaborating with the team to ensure timely completion of program deliverables.
- Ensure adequate planning and preparation for TA/T, including web-based, hybrid and face-to-face events.
- Act as a content thought-partner by offering input and strategy to the development and organization of meetings and events, including, but not limited to the programs and projects contained in the Scope of Work.
- Manage and coordinate Program team meetings and processes, including scheduling, drafting agendas, ensuring meeting roles are assigned and executed, creating team timelines, tracking action items, and helping to ensure team deliverables are met.
- Support partnerships with key stakeholders at the state, regional and national level to advance team priorities by scheduling and providing administrative support for key meetings.
- In partnership with team, develop and distribute program communication for designated bodies of work; contribute to coordination and integration of external communication regarding department work in order to improve program effectiveness and promote member engagement.
- Contribute to the development and maintenance of member relations and knowledge management tools in order to improve program evaluation, internal documentation and tracking of member information, and external communication of program-related materials.
- Travel to relevant conferences and meetings in order to maintain knowledge of landscape, build partnerships and promote brand awareness within work area.
- List management, meeting scheduling, support, and follow-up.
- Collaborate with group lead to support related events including the annual All Leadership Group Gathering.
- SharePoint, web portal, and Office 365 group set up and management for individual membership groups as needed.
Minimal Qualifications:
- Professional with moderate level of proficiency. Generally requires a Bachelor’s degree and/or up to three years’ experience or equivalent education.
- Fluency in written and spoken English required.
Starting Range:
$23.56 - $29.33

OPCA works a hybrid schedule of two days in our downtown office and three days remote.
