Your mission
As our Workplace Manager, you run the BEAT81 HQ as a service to everyone who works there. Your job is to make sure our people have everything they need to do their best work, and then a bit more. You'll be the first face visitors see and the person colleagues go to when they need something. You'll make sure the office feels welcoming and works seamlessly every single day, and you'll be one of the main drivers of our culture: through food and drinks, small rituals and lovingly planned moments that make people feel appreciated.
What you will do
- Be the first smile people see at BEAT81. Welcome visitors, guests and external partners warmly, and make sure the entrance and welcome area always give a great first impression.
- Own the day-to-day running of our HQ end to end. Make sure it's a space people love walking into: inviting, well kept and working the way it should, without other teams ever needing to step in.
- Manage relationships with suppliers and service providers (cleaning, maintenance, catering, deliveries) so everything runs smoothly in the background.
- Act as the go-to service partner for everyone at HQ. Take in requests, anticipate needs before they come up, and follow through quickly and reliably.
- Make sure office rules (e.g. clean desk, kitchen etiquette, shared spaces) are actually followed, not just written down. Hold the standard in a friendly but firm way.
- Spot what doesn't work in the office, from a broken setup to a space nobody uses, and fix or improve it before anyone has to ask.
- Own food and beverage for the office. Go beyond stocking snacks and make it part of our culture: seasonal touches, themed moments and little surprises that spoil our people.
- Come up with and run your own culture formats, like monthly drinks, a cozy get-together after our All Hands, or pumpkins in October. Keep asking how we can make each moment better, more personal and more fun.
- Support the planning and running of our bigger company events, including summer community events, our winter party and our annual offsite, working closely with People, Marketing and other stakeholders.
- Own the office, Food and Beverage and culture budgets. Plan spend, track it in real time, and find smart ways to save without lowering our standards.
- Keep up with workplace trends and best practices, and bring fresh ideas and proposals forward yourself.
What you bring
- 2–4 years of experience in workplace, office or facility management, ideally combined with a background in hospitality, guest relations or event coordination.
- A real hospitality mindset. You know what great service looks and feels like, and you deliver it naturally to colleagues and guests alike.
- A good eye for detail and aesthetics. You notice when something is off and care about how a space looks and feels.
- Experience creating and running internal events or culture initiatives, from small get-togethers to larger company events.
- Strong organizational skills and the ability to juggle many small, fast-moving requests without losing track of the bigger picture.
- Confidence in setting and holding standards, and in having friendly but clear conversations when rules aren't being followed.
- Experience managing budgets and working with external vendors and service providers.
- Fluency in English and German (minimum B2 German).
