About the Role Alumni Ventures manages relationships with over 13,000 investors across a portfolio of venture investment vehicles. Delivering a high-quality experience at that scale requires operational infrastructure that is accurate, reliable, and built to grow — across distributions, tax reporting, fund performance, investor feedback programs, and service operations. The Sr. Manager, Investor Operations is responsible for owning and continuously improving the programs and systems that make that infrastructure work. This means executing recurring programs with rigor and precision, driving cross-functional coordination across Finance, Technology, Fund Accounting, and Communications, and identifying opportunities to leverage automation and technology to increase accuracy, reduce friction, and build scalable processes. This is an individual contributor role. The right person brings strong operational instincts, deep comfort with data and reporting tools, cross-functional project management experience, and a bias for building durable systems. They hold a high bar for process quality and are energized by the challenge of making complex, high-stakes data operations run more effectively over time. What You’ll Do - Own and manage AV's recurring investor reporting and distribution programs — including quarterly fund distributions, annual K-1 tax form delivery, semi-annual fund performance reports, and more. This means building the plan, coordinating cross-functional execution across Finance, Technology, Fund Accounting, and Communications, driving deliverables to completion, and leading the post-mortem for each cycle. - Serve as business owner for AV's investor service operations, including the cross-functional request management system. Monitor and improve SLA performance, manage backlog and escalation processes, and identify where process or tooling changes would improve service quality and response consistency. - Own AV's quarterly investor NPS program end-to-end — from audience segmentation and HubSpot configuration through execution, analysis, and historical tracking — ensuring data integrity and methodological consistency across cycles. - Identify opportunities to increase automation, improve accuracy, and build more scalable processes across investor operations, and drive those improvements in partnership with Technology, Analytics, Finance, and Investor Relations. - Develop dashboards and operational reporting that give leadership clear visibility into service performance, program status, and key metrics. - Build and maintain process documentation, SOPs, and playbooks that support operational consistency and organizational knowledge. Who You Are - 5+ years of experience in investor operations, financial services operations, client operations, or a closely related field. - Strong project management skills with demonstrated ability to run complex, multi-stakeholder programs from planning through post-mortem. - Experience with data, reporting, financial calculations, and data management. - Hands-on experience with workflow or service management tools (Jira or equivalent); working knowledge of HubSpot or similar CRM/marketing platforms. - Process improvement orientation; consistently identifies opportunities to increase automation, improve accuracy, and reduce operational friction, and drives those improvements through cross-functional teams. - Excellent written communication skills — able to produce clear process documentation, project communications, and stakeholder updates. - Ability to manage multiple concurrent programs and adapt as priorities shift. Preferred - Experience in private markets, venture capital, fund administration, or similarly complex financial services environments. - Familiarity with tax reporting processes or investor distribution programs. - Experience working with NetSuite, Tableau, or similar financial or analytics platforms. - Demonstrated experience implementing automation tools or AI-assisted workflows to reduce manual operational work. - Experience with SmartPayables or other payment distribution platforms a plus.
