Facility Services Associate Lead
Job Summary
We are seeking an experienced Facilities & Mailroom Lead to oversee daily mailroom, facilities, and office support operations in a professional office environment. This hands-on role is responsible for coordinating mail and package services, facilities requests, conference room support, office supplies, copy/print services, and general workplace maintenance.
The ideal candidate has previous lead experience in a mailroom, facilities, workplace services, or similar environment, strong communication and customer service skills, and the ability to manage multiple priorities while remaining actively involved in daily operations.
Key Responsibilities
- Supervise and support daily mailroom, facilities, and workplace service operations.
- Receive, sort, process, and distribute U.S. Mail, interoffice mail, FedEx, UPS, courier deliveries, and packages.
- Process inbound and outbound shipments and maintain accurate tracking information.
- Deliver and pick up packages, supplies, equipment, and other materials throughout the office.
- Coordinate daily work requests and prioritize assignments to ensure timely completion and consistent service.
- Use computer systems to manage service requests, track company assets, process mail and packages, and support facilities operations.
- Set up and reset conference rooms with appropriate furniture, supplies, and equipment.
- Maintain conference rooms, kitchens, pantries, copy rooms, and other shared office spaces according to workplace standards.
- Stock and replenish office, pantry, and general workplace supplies.
- Maintain supply areas and conduct regularly scheduled inventory.
- Monitor facilities and equipment and promptly report maintenance concerns, including equipment issues, lighting problems, water leaks, and other building needs.
- Assist with general and preventative maintenance as needed.
- Support recycling and waste-management activities.
- Install signs, pictures, bulletin boards, and similar workplace materials using appropriate tools.
- Receive and process copy and print requests, perform quality-control checks, and assemble finished materials using binding equipment and supplies.
- Coordinate records-related requests and work with appropriate suppliers for records retrieval and pickup.
- Communicate and coordinate with building management, vendors, suppliers, and internal teams regarding workplace services.
- Maintain a professional, responsive, and customer-focused approach when assisting employees, visitors, vendors, and other stakeholders.
- Follow all company policies, procedures, safety requirements, and service standards.
- Perform other related duties as assigned.
Qualifications
- Previous lead experience in a mailroom, facilities, workplace services, office services, or similar environment required.
- Previous experience with mail, shipping, receiving, facilities, or office support operations.
- Strong leadership, organizational, and problem-solving skills.
- Ability to prioritize multiple assignments and work effectively in a fast-paced environment.
- Excellent verbal and written communication skills.
- Strong interpersonal and customer service skills.
- Ability to read, understand, and follow written and verbal instructions.
- Ability to read and interpret floor plans.
- Proficiency with or working knowledge of Microsoft Word, Outlook, Excel, and PowerPoint.
- Ability to learn new computer programs, operating systems, and facilities management applications.
- Experience with a Computer-Aided Facility Management (CAFM) system or similar work-order/facilities software is a plus.
- Copy and print production experience is a plus.
- Ability to work independently while also collaborating effectively as part of a team.
- Ability to work effectively with internal leadership, outsourced service partners, building management, and vendors.
Physical Requirements
This is an active, hands-on position that requires moderate to high physical effort.
- Ability to lift, carry, move, deliver, and pick up items weighing up to 50+ pounds independently.
- Ability to participate in team moves or deliveries involving items weighing up to 250 pounds.
- Ability to learn and consistently use proper lifting and material-handling techniques.
- Ability to safely use moving equipment, tools, and workplace equipment.
- Ability to perform physical workplace-support activities such as standing, walking, bending, reaching, moving supplies, and setting up office spaces.
Preferred Qualifications
- Experience supervising employees in a corporate mailroom, facilities, or workplace-services environment.
- Experience with FedEx, UPS, courier, and U.S. Mail processing.
- Experience with facilities or work-order management systems.
- Copy, print, binding, or document-production experience.
- Experience coordinating with building management, vendors, and outside service providers.
