Dental Insurance Coordinator Position Summary The Insurance Coordinator is responsible for managing the front-end dental insurance process, ensuring accurate and timely insurance information is available before patients receive treatment. This position focuses on insurance eligibility and benefit verification, pre-determination submission and follow-up, reviewing insurance estimates, calculating anticipated patient responsibility, and clearly communicating financial information to patients and team members. The Insurance Coordinator plays an important role in helping patients understand their benefits while supporting the practice in providing accurate financial expectations and reducing preventable insurance and billing issues after treatment. Key Responsibilities Insurance Eligibility & Benefit Verification - Verify insurance eligibility and active coverage prior to patient appointments. - Obtain and document detailed insurance benefits, including: - Deductibles - Annual maximums - Coverage percentages - Frequency limitations - Age limitations - Waiting periods - Missing tooth clauses or replacement limitations - Orthodontic benefits, when applicable - Other plan-specific exclusions or limitations - Confirm coordination of benefits when patients have multiple insurance plans. - Maintain accurate and current insurance information within the practice management system. - Identify changes in coverage or benefits and communicate them to the appropriate team members. - Ensure benefit information is available to the team before treatment and financial discussions occur. Pre-Determinations & Treatment Estimates - Identify treatment plans that require or would benefit from insurance pre-determination. - Submit pre-determinations accurately and promptly with all required documentation. - Include necessary radiographs, narratives, treatment plans, clinical documentation, or other supporting information. - Track outstanding pre-determinations and follow up with insurance carriers as needed. - Review completed pre-determinations for: - Estimated insurance coverage - Deductibles - Plan limitations - Frequency restrictions - Non-covered services - Downgrades or alternate benefits - Remaining annual maximums - Estimated patient responsibility - Update treatment plans and patient estimates based on returned pre-determinations. - Identify discrepancies or unexpected insurance determinations and investigate them before treatment whenever possible. Patient Financial Communication - Clearly communicate estimated insurance benefits and anticipated out-of-pocket responsibility to patients and parents/guardians. - Help families understand deductibles, annual maximums, coverage limitations, non-covered services, and other relevant insurance provisions. - Explain the difference between an insurance estimate or pre-determination and a guarantee of payment. - Provide accurate financial information so families can make informed decisions regarding treatment. - Coordinate with the appropriate team members when payment arrangements or additional financial discussions are needed. - Maintain professionalism and empathy when discussing financial responsibilities with families. Team Communication & Treatment Coordination - Communicate insurance findings and patient financial responsibility to clinical and administrative team members before treatment. - Ensure treatment plans contain accurate and understandable insurance estimates. - Alert the team to coverage concerns that could affect treatment scheduling or patient financial responsibility. - Work closely with Patient Coordinators, Office Managers, providers, and other team members to resolve insurance questions. - Document insurance communications and relevant information clearly within the patient's account. - Serve as a resource to team members regarding insurance benefits, pre-determinations, and coverage questions. Insurance Payment Support While the primary focus of this position is front-end insurance coordination, the Insurance Coordinator may also assist with insurance payment processing as needed. Responsibilities may include: - Assist with posting insurance payments and adjustments. - Review Explanation of Benefits (EOBs) for accuracy. - Compare insurance payments with estimated benefits and pre-determinations. - Identify discrepancies between expected and actual insurance payments. - Assist in determining updated patient responsibility after insurance processing. - Communicate significant discrepancies to the appropriate billing or management team member. - Support other insurance-related administrative functions as needed. Performance Expectations Success in this position means that insurance questions are addressed before they become patient or billing problems. The Insurance Coordinator is expected to: - Complete insurance verification accurately and within established timelines. - Maintain complete and current benefit information. - Submit pre-determinations promptly. - Consistently track and review outstanding pre-determinations. - Update treatment estimates promptly when pre-determinations are received. - Clearly communicate expected patient responsibility before treatment whenever possible. - Document insurance information and communications accurately. - Proactively identify insurance limitations or concerns that may affect treatment or patient responsibility. - Maintain strong communication with patients and team members. - Follow assigned insurance tasks through to completion rather than allowing unresolved items to remain inactive. Qualifications Required - High school diploma or equivalent. - Strong attention to detail and accuracy. - Excellent verbal and written communication skills. - Strong organizational and time-management skills. - Ability to manage multiple priorities and deadlines. - Strong computer and data-entry skills. - Ability to communicate financial information professionally and confidently. - Ability to protect confidential patient and financial information. Preferred - Previous dental insurance or dental office experience. - Knowledge of dental terminology and ADA procedure codes. - Experience verifying dental insurance benefits. - Experience submitting and reviewing insurance pre-determinations. - Familiarity with PPO dental plans, Medicaid, coordination of benefits, and common dental insurance limitations. - Experience with dental practice management software and insurance portals. The goal of this position is not simply to verify that a patient "has insurance." The Insurance Coordinator is responsible for gathering meaningful benefit information, identifying coverage limitations, obtaining pre-determinations when appropriate, calculating reasonable estimates, and making sure both the family and the team understand the anticipated financial responsibility before treatment occurs. Insurance benefits and pre-determinations are estimates and are not guarantees of payment. The Insurance Coordinator is responsible for providing the most accurate information reasonably available while communicating this limitation clearly to patients and team members.
