POSITION SUMMARY
The Senior Accountant is responsible for the full accounting and financial operations function of the company, including job costing, accounts payable and receivable, billing and collections, account reconciliations, and state sales tax compliance. This role also serves as the company's point person for HR compliance (in partnership with a third-party payroll/HR provider), business licensing across the jurisdictions in which the company operates, equipment
tracking and licensing/registration, and the company's insurance programs (General Liability, Auto Liability, and group medical). This is a hands-on role suited to someone comfortable owning both the detailed bookkeeping and the higher-level compliance and reporting responsibilities of a growing manufacturing/installation business.
KEY RESPONSIBILTIES
Accounting and Job Costing
- Maintain the general ledger and manage the month-end close process in QuickBooks Desktop
- Prepare journal entries, accruals, reconciliations, financial statements, and management reports
- Assist with job costing by tracking labor, materials, subcontractors, and overhead against project estimates
- Review job profitability and identify cost overruns or variances
- Support budgeting, forecasting, cash-flow planning, and year-end tax preparation
- Coordinate with the company’s outside CPA firm
Billing, Receivables and Payables
- Manage customer billing, payment application, collections, and aging follow-up
- Reconcile QuickBooks with the company’s job-management system
- Process vendor invoices and payments and ensure expenses are assigned to the correct jobs
- Maintain vendor records, W-9s, and year-end 1099 reporting
Payroll, Tax and Compliance
- Coordinate payroll information with the company’s third-party payroll and HR provider
- Assist with benefits enrollment, employee recordkeeping, workers’ compensation reporting, and other HR compliance requirements
- Prepare and file applicable state and local sales and use tax returns
- Maintain resale and exemption certificates
- Track business licenses, permits, vehicle and equipment registrations, and required renewals
Insurance Administration
- Assist with the company’s general liability, auto liability, workers’ compensation, and group medical insurance programs
- Coordinate renewals, claims, certificates of insurance, employee enrollment, and invoice reconciliation
- Maintain insurance documentation required by customers and vendors
QUALIFICATIONS
- Associate degree required; bachelor’s degree in Accounting, Finance, or a related field preferred
- Five or more years of progressive accounting experience, including at least two years in a senior accountant, controller, or comparable role
- Strong hands-on QuickBooks experience
- Experience with job costing or project-based accounting, preferably within manufacturing, construction, fabrication, or the trades
- Working knowledge of sales and use tax requirements
- Experience coordinating payroll, benefits, or HR matters with a third-party provider preferred
- Strong Excel, organizational, and problem-solving skills
- Ability to work independently, manage deadlines, and handle confidential information appropriately
The successful candidate will help ensure financial reporting, job-cost information, tax filings, payroll coordination, licensing, and insurance requirements are handled accurately and on time.
