About the role
Customer SupportSQLExcelProject Management
- Responsible for strict compliance with institutional policies and legal regulations to protect confidential information about students processed within the Division’s mandate;
- Responsible for supervising, mentoring, and providing leadership to a team of registration and scheduling staff;
- Responsible for overseeing the registration process, including course enrollment, add/drop periods, and waitlist management;
- Responsible for ensuring compliance with academic policies and prerequisites during registration;
- Responsible for resolving registration issues and assist students with registration inquiries;
- Responsible for developing and managing the final exams schedule, optimizing room utilization and faculty resources;
- Responsible for collaborating with academic departments to determine course offerings and scheduling preferences;
- Responsible for collaborating with Schools to support creation and entering academic class schedules;
- Responsible for monitoring and adjust schedules as needed to accommodate changes in enrollment or faculty availability;
- Responsible for maintaining accurate and up-to-date student academic records;
- Responsible for processing grade changes, course substitutions, and other academic record updates;
- Responsible for ensuring the confidentiality and security of student records in compliance with regulations;
- Responsible for implementing and enforce registration and scheduling policies, including deadlines and prerequisites;
- Responsible for collaborating with students, academic departments and faculty to communicate and enforce policies;
- Responsible for utilizing registration and scheduling software systems to streamline processes and improve accuracy;
- Responsible for collaborating with IT teams to maintain and upgrade registration and scheduling technology;
- Responsible for generating Pre/Post-registration reports and analyze data related to registration, enrollment trends, and scheduling efficiency;
- Responsible to use data insights to make informed decisions and improve operations;
- Responsible for providing training to staff on registration and scheduling procedures and software;
- Responsible for staying updated on industry best practices and innovations in registration and scheduling;
- Responsible for ensuring excellent customer service for students, faculty, and staff by resolving issues and addressing concerns promptly;
- Responsible for collaborating with other departments to improve the overall student experience;
- Responsible for managing Registration and Scheduling unit’s workflow;
- Responsible for providing input on strategy, procedures, or new initiatives for the improvement of quality of process of registration and preparation of schedules, planning and the analysis of questions of interoperability with other NU Schools and departments;
- Responsible for creating functional-technical system specifications with aim of improvement of the SIS;
- Responsible for interaction with SIS developers and testing of the executed work;
- Responsible for controlling of online course catalog;
- Responsible for work with different technical departments of the University to execute planned work;
- Responsible for developing a new interfaces and new functional modules for different users of Division system in conjunction with interested parties;
- Responsible for updating and upgrading existing database structure;
- Works with other areas of Division as needed;
- Participation in identification, evaluation, management and monitoring of risks within the framework of supervised direction;
- is responsible for strict compliance with institutional policies and legal regulations to protect confidential information about students processed within the Division’s mandate;
- timely and properly executes the tasks of the line manager and the University`s management;
- observes the requirements of the legislation of the Republic of Kazakhstan and the Employer`s internal documents;
- is responsible for exercising the labor and performance discipline;
- is responsible for ensuring the integrity of official documents, and prevention of the disclosure or leakage of confidential and business information, as well as information of restricted access in accordance with the legislation, Charter and internal documents of the Employer;
- in case of dismissal, is responsible for timely transfer of all paper documentation, digital information, inventory to another employee as instructed by the line manager (to be certified by the act of acceptance-transfer).
Education
- Higher-professional degree in IT field, preferable from the higher education institutions with English language of instruction;
- The minimum degree - Bachelor/Specialist
- Master degree is preferredWork experience
A minimum of five years with a bachelor's degree; Or a minimum of three years with a master's degree in a related field.
- in Higher Education, particularly student services management;
- in data gathering and identifying requirements for developing educational database software; in developing user interfaces
Knowledge
- knowledge of the Republic of Kazakhstan legislation in the field of education;
- knowledge of the educational system of the USA and European countries;
- knowledge of student records and registration business processes and systems;
- working knowledge of project management techniques;
- experience with SQL;
- working knowledge of requirement definition techniques\Working knowledge of relational databases;
- understanding of database systems and data integration;
- experience in working with internal IT departments in the development of specifications;
- ability to communicate technical concepts to a variety of proficiency levels;
- Fluent English, Kazakh and Russian.
- Computer literacy: 
- advanced user of MS Office (with specific
- experience in MS Access), Excel, PowerPoint;
- experience in Student Information Systems
